01 / Scope

Who this policy covers

Operational Solutions Group (“OSG,” “we,” “us,” or “our”) operates this website from Ontario, Canada. This Privacy Policy applies to personal information handled through this website and during pre-contract communications about a potential project.

This policy does not describe how information is handled inside software that OSG builds or operates for a client. Those responsibilities are addressed in the applicable client agreement, statement of work, and any required data-processing terms.

02 / Information we collect

Information you provide and information created by your visit

Depending on how you interact with us, we may collect:

  • Your full name, business name, work email address, and phone number.
  • The project category you select and any other project details you choose to send.
  • Emails, call details, meeting notes, proposals, and other communications with OSG.
  • Basic technical and request information processed by our hosting infrastructure, such as IP address, browser or device type, requested pages, referring page, timestamps, and security or diagnostic logs.

Project inquiry information is transmitted securely to OSG through Postmark, our email delivery provider. The website does not currently store inquiry submissions in its own database.

03 / How we use information

We use information for specific business purposes

  • To receive, assess, and respond to your inquiry.
  • To arrange calls or meetings and prepare a proposal, estimate, or project plan.
  • To communicate with you about the requested project or an existing business relationship.
  • To operate, secure, troubleshoot, and improve the website and our communications.
  • To maintain appropriate business records, enforce agreements, and resolve disputes.
  • To meet legal, regulatory, tax, accounting, and security obligations.

We limit collection, use, and disclosure to purposes that a reasonable person would consider appropriate in the circumstances, or as otherwise permitted or required by law.

04 / Consent and communications

An inquiry is not a general marketing subscription

When you submit an inquiry, email us, or call us, you ask OSG to use the information you provide to respond by email or phone about that inquiry. We do not treat an inquiry as consent to add you to an unrelated marketing list.

If OSG sends commercial electronic messages beyond responding to your request, we will rely on consent or another lawful basis, include sender identification and contact information, and provide a working way to unsubscribe as required by Canada's Anti-Spam Legislation. You may withdraw consent where applicable, subject to legal or contractual restrictions.

05 / When information is shared

We do not sell personal information

We may disclose personal information only as reasonably necessary to:

  • Service providers that support website hosting, email, communications, security, IT, document storage, or professional services, subject to appropriate protections.
  • Employees and contractors who need the information to evaluate or deliver the requested work.
  • Legal, accounting, insurance, or other professional advisers.
  • Courts, regulators, law enforcement, or other parties where disclosure is required or permitted by law, or reasonably necessary to protect rights, safety, and security.
  • A prospective purchaser, successor, or financing party in connection with a legitimate corporate transaction, subject to confidentiality and lawful-use restrictions.

OSG does not rent or sell personal information to data brokers or advertising companies.

06 / Processing outside Canada

Service providers may process information in other countries

Some providers used for hosting, email, security, or business operations may process or store information outside Ontario or Canada. When this occurs, information may be accessible to courts, law enforcement, or regulators under the laws of that jurisdiction. OSG remains responsible for personal information under its control and uses contractual or other measures intended to provide a comparable level of protection.

07 / Retention and security

We keep information only as long as reasonably necessary

OSG retains personal information for as long as reasonably necessary to respond to the inquiry, manage a business relationship, meet legal and accounting requirements, establish or defend legal claims, and resolve disputes. When information is no longer required, we take reasonable steps to securely delete, destroy, or anonymize it. Residual copies may remain in protected backups until they are overwritten through normal retention cycles.

We use administrative, technical, and physical safeguards appropriate to the sensitivity and amount of information involved. No website, email system, transmission method, or storage system can be guaranteed completely secure. If a breach occurs, OSG will assess, document, notify, and report it as required by applicable law.

08 / Your privacy rights

You may ask about information OSG holds about you

Subject to applicable law and permitted exceptions, you may ask OSG to:

  • Confirm whether we hold personal information about you and provide access to it.
  • Correct information that is inaccurate or incomplete.
  • Withdraw consent to future use where consent is the legal basis.
  • Stop promotional electronic messages.
  • Delete information that is no longer required, subject to lawful retention needs.

We may need to verify your identity before completing a request. Withdrawing consent may limit our ability to respond or provide a requested service, but it will not affect processing that has already lawfully occurred.

09 / Cookies and tracking

No OSG-controlled advertising or behavioural tracking

This website does not currently use OSG-controlled advertising cookies, behavioural profiles, or third-party analytics tags. Our hosting and security infrastructure may still process basic request data or use strictly necessary technical storage to deliver and protect the site. If we introduce materially different tracking, we will update this policy and request consent where required.

This website is intended for business users aged 18 or older. OSG does not knowingly solicit personal information from children.
