Scope of this policy

Operational Solutions Group (“OSG,” “we,” “us,” or “our”) respects the privacy of people who visit our website or contact us about a project. This policy explains what personal information we collect through operationalsolutionsgroup.com, why we use it, when it may be shared, and the choices available to you.

This policy applies to website visitors and prospective or current clients who communicate with OSG. If we process information on behalf of a client while delivering custom software, the applicable proposal, services agreement, or other client-specific terms may also govern that work.

Information we collect

Information you provide

When you submit our project inquiry form, contact us by email or phone, or otherwise communicate with us, we may collect your name, work email address, phone number, company, project type, preferred timeline, the details you provide about your business or proposed solution, and any other information you choose to include.

Website and technical information

Our website and hosting infrastructure may process technical information such as your IP address, browser or device type, user-agent, requested page, referring page, date and time, and basic server or security logs. The inquiry form records the page URL from which it was submitted, which may include advertising campaign parameters. IP addresses may be used to help prevent spam and abuse.

Please do not submit sensitive information.

Do not include passwords, payment-card details, government identification numbers, health information, or other sensitive personal information in the project inquiry form.

How we use personal information

We may use personal information to:

  • review and respond to inquiries;
  • assess whether a proposed project is a suitable fit;
  • arrange calls, prepare proposals, and communicate about requested services;
  • create and manage an inquiry or project record in our internal systems;
  • operate, secure, troubleshoot, and improve the website and inquiry process;
  • prevent spam, fraud, misuse, or security incidents;
  • maintain appropriate business, accounting, and legal records; and
  • meet legal obligations or protect our rights.

Submitting a project inquiry does not subscribe you to an unrelated marketing list. We may follow up about the inquiry or services you asked us to discuss. If we introduce a separate marketing list, we will provide the appropriate notice and choice.

How we share personal information

We do not sell or rent personal information. We may disclose it only as reasonably necessary for the purposes described in this policy, including to:

  • Postmark, operated by ActiveCampaign, which processes the contents and delivery information of project-inquiry emails sent to OSG;
  • Vercel and other hosting, serverless, security, or infrastructure providers used to operate the website;
  • OSG Studio, our internal lead and project-management system, when that connection is enabled;
  • contractors, professional advisers, or other service providers that need the information to perform work for OSG and are expected to protect it;
  • government, regulatory, law-enforcement, or other parties where disclosure is required or permitted by law or reasonably necessary to protect rights, safety, and security; and
  • a purchaser, successor, or adviser in connection with a proposed financing, reorganization, sale, or transfer of all or part of the business, subject to appropriate confidentiality protections.

Service providers operate under their own systems and contractual terms. Privacy information is available from Postmark and Vercel.

Analytics, cookies, and advertising

At the effective date of this policy, this website does not use non-essential analytics or advertising pixels. Basic technical information may still be processed by our hosting and security infrastructure to deliver and protect the website.

If we later introduce analytics or advertising technology, we will update this policy and provide any notice or choices that are appropriate before non-essential tracking is activated. Those tools may process information such as IP address, browser or device identifiers, pages viewed, referring page, interactions, campaign parameters, and whether an inquiry was completed. We will not use the contents of a project inquiry for behavioural advertising without further notice and an appropriate basis to do so.

International processing

Some service providers may process or store personal information outside Canada, including in the United States. While information is in another country, it may be subject to that country’s laws and may be accessible to courts, law-enforcement, or government authorities in accordance with those laws.

Retention and safeguards

How long information is kept

We retain personal information only for as long as reasonably needed for the purposes described in this policy. The period depends on whether an inquiry becomes a client project, whether follow-up is still reasonably expected, and whether information is needed for contractual, accounting, tax, warranty, dispute-resolution, security, or legal purposes. Information is deleted or anonymized when it is no longer reasonably required.

How information is protected

We use reasonable administrative and technical safeguards appropriate to the nature of the information, including limited access to inquiry records and encrypted transmission through the website and service providers where supported. No online service or method of storage is completely secure, so we cannot guarantee absolute security.

Your privacy choices

You may contact us to ask whether we hold personal information about you, request access to it, ask us to correct inaccurate or incomplete information, withdraw consent for future optional uses, or ask us to delete information that is no longer required. Some requests may be subject to identity verification and legal or contractual exceptions. Withdrawing consent does not affect processing that was already authorized.

To make a request, email jacob@operationalsolutionsgroup.com with the subject line “Privacy request.” We will respond within the time required by applicable law.

Our website and services are intended for businesses and are not directed to children. If you believe a child has provided personal information through the website, please contact us so we can review and address it.

Changes to this policy

We may update this policy as our website, service providers, or practices change. We will post the revised policy on this page and update the “Last updated” date. If a change materially affects how we use information already collected, we will provide additional notice or seek consent where appropriate.
